Product identity

Start with a consistent name for what you're actually selling.

  • Confirm each printable has a clear, consistent product title across every platform you sell it on
  • Confirm each printable is linked to its product family (which planner, journal, or collection it belongs to)
  • Confirm the printable type is documented: worksheet, wall art, planner insert, tracker, and so on
  • Confirm variant products (color vs. black-and-white, sizes) are tracked as separate SKUs, not folded into one listing

File specs

The file itself needs to match what the listing promises.

  • Confirm file size is reasonable for instant download, large files slow delivery and frustrate buyers
  • Confirm page size is correct for the intended use, US Letter, A4, or both if you sell internationally
  • Confirm both color and black-and-white versions exist if that's part of your offer, and both are current
  • Confirm the file format matches what you advertise: PDF, PNG, editable Canva link, and so on

Version control

An update only counts once it's actually live everywhere the old file was.

  • Confirm the current file version is clearly named so you always know which one is live
  • Confirm outdated versions are archived, not sitting in the same folder as the current file
  • Confirm a revision date is logged any time a printable is updated
  • Confirm updated files have actually been re-uploaded everywhere the printable is sold, not just on one platform

Listing quality

Buyers judge a printable by the listing, not the file, until after they've paid.

  • Confirm listing images show the printable accurately, including page count and what's included
  • Confirm mockups reflect the current design, not an older version of the printable
  • Confirm the listing description states exactly what's included: page count, file types, sizes
  • Confirm keywords and categories match how buyers actually search for this type of printable

Storefront status

Confirm this against the platforms themselves, not a spreadsheet you filled out once.

  • Confirm the printable's status on every platform you sell it on: Etsy, Gumroad, Payhip, your own site
  • Confirm pricing is intentional and consistent across platforms, or that differences are deliberate
  • Confirm links between platforms (from your website to Etsy, for example) point to the current listing
  • Confirm delivery actually works: test-purchase or preview the download buyers actually receive

Bundles and collections

A bundle is only as current as its least-recently-checked printable.

  • Confirm which bundles this printable is included in, and that the bundle reflects the current file version
  • Confirm a bundle's total page count and file list is accurate and updated when an individual printable changes
  • Confirm discontinued or retired printables are removed from active bundles
  • Confirm new printables that should join an existing bundle are actually added, not just sold standalone
